This guide answers the most common questions about using ReportAssist. It is designed as a quick reference to help you work efficiently and confidently within the platform. If your question is not covered in this guide, please contact our support team for further assistance.


The AI didn’t recognize a specific defect (e.g., a small crack). Why?

The AI relies on visual clarity. If a room is too dark, the lens is blurry, or the camera is too far away, fine details might be missed. Ensure the area is well-lit. For specific damage, take a close-up "detail" shot in addition to the wide-angle room shot.


What happens if I upload a blurry or low-quality photo?

If the AI cannot confidently identify the contents of an image, it will generate a "Low Confidence" warning or a generic description. For the best results, hold the camera steady and wait for the auto-focus to lock.


Can I take photos of multiple items in one shot?

Yes, but for the most accurate "Condition" rating, we recommend focusing on one primary feature at a time (e.g. taking 10 pictures of a blank wall is the same as taking 1 photo if they are all clean) 


The AI identified the flooring as "Laminate" but it’s actually "Hardwood." How do I fix this?

AI makes an educated guess based on textures and patterns. It isn't always 100% right about specific materials. Every auto-generated description is fully editable. Simply tap the text box to overtype the material. The AI should learn from your manual corrections over time.


How does the AI determine the "Condition"?

The AI compares your photo against a database of thousands of property images to look for signs of wear, tear, or damage (scuffs, stains, chips).


Can I only describe the photo with AI and not the condition? 

Yes. If you prefer to write your own descriptions or conditions for a specific row, you can toggle the AI off for that generation.


Does the AI store photos of the tenants' personal belongings?

ReportAssist focuses on the fixtures, fittings, and structure of the property. While personal items may appear in the background of a photo, our AI is programmed to prioritise property data. For privacy compliance, we recommend asking tenants to clear personal clutter or photos from surfaces before the inspection begins.


What if I’m in a basement or a property with no Wi-Fi/Cell service?

You can take the photos, add them to the report and sync it back to the dashboard. Once you get into a place with proper reception, you can then use the AI to generate these descriptions for you.


Can I turn off AI for mobile app users?

Yes, if you reach out and let us know if you want it on the mobile only, dashboard only or both, we can configure this for you so that your users don’t click it in every report. 


My AI usage stopped mid-report, what do I do?

If you reach out, we can enable rolling usage which means you will get billed separately to your plan at the end of each month.
