How to use Remote Comments with Tenants or Landlords

Remote Comments allow tenants or landlords to review a report digitally, add comments where needed, upload supporting photos, and sign to confirm accuracy, without the need to attend the inspection in person.

The updated Remote Comments experience is faster, clearer, and more collaborative, focusing on shared input rather than agreement or disagreement.


When to use Remote Comments

Remote Comments are typically used when:

  • A tenant or landlord cannot attend the inspection

  • You want written confirmation of the report contents

  • Supporting comments or evidence are required after the inspection

  • You want to reduce disputes by capturing feedback and signatures digitally

Remote Comments can be sent for inventories, check-outs, inspections, and other supported report types.


Step 1: Complete the inspection report

  1. Complete the inspection report as normal within the TouchRight app

  2. Ensure descriptions, condition notes, and photos accurately reflect the property at the time of inspection

  3. Save the report once complete

Accuracy at this stage is important, as Remote Comments are designed to capture input only where clarification or additional context is needed.


Step 2: Send the report for Remote Comments

  1. Open the completed report

  2. Select Send for Remote Comments

  3. Choose the relevant party:

    • Tenant

    • Landlord

  4. Enter the recipient’s email address

  5. Optionally add a message explaining why the report is being shared and what feedback is required

  6. Send the request

The recipient will receive an email with a secure link to access the report.



Step 3: What the tenant or landlord sees

When the tenant or landlord opens the link, they can:

  • Review each section of the report

  • Add comments only where they feel input is required

  • Upload photos to support their comments

  • Mark sections as complete once reviewed

They are not required to comment on every room or item, which keeps the process quick and focused.


Step 4: Adding comments and photos

  • Comments can be added to specific rooms, items, or sections

  • Photos can be uploaded alongside comments where evidence is helpful

  • All uploaded photos are automatically date and time stamped for reference

This allows inspectors and managers to clearly understand when supporting evidence was captured.



Step 5: Confirmation and signature

Before signing, the tenant or landlord is shown a confirmation statement explaining that:

  • Except where comments have been added, they agree the report is an accurate reflection of the property at the date the report was created

Once confirmed, they can add their digital signature and submit the review.



Step 6: Reviewing Remote Comments in TouchRight

When Remote Comments are submitted:

  1. Open the report in TouchRight

  2. Review all comments and photos provide

  3. Accept or reject individual comments as appropriate

  4. Add notes internally if required

Previously agreed comments from linked reports will also be visible, providing historical context and clarity.



Step 7: Submitting the reviewed report

When submitting the reviewed report:

  • You can add a message to the tenant or landlord explaining any rejected comments

  • This message is shared with the recipient and helps prevent confusion or follow-up calls

Once submitted, the final report is generated.



Step 8: Final PDF output

In the final PDF:

  • Remote Comments are clearly highlighted with improved visibility

  • Previous comments are clearly referenced with updated wording for clarity

  • Photos linked to comments remain visible with their original timestamps

This creates a clear audit trail for all parties.



Manager visibility and oversight

On the Remote Comments screen, a comment count is displayed for each report.
This allows managers to:

  • Quickly identify reports with a high number of comments

  • Spot potential training or quality review opportunities

  • Support consistency and accuracy across inspection teams




How tenant and landlord signatures are captured

Tenant and landlord signatures are captured digitally as part of the Remote Comments process.


When signatures are requested

A signature is requested after the tenant or landlord has:

  • Reviewed the report

  • Added any comments they wish to include

  • Uploaded supporting photos where relevant

Signing confirms review and acknowledgment of the report content.


What the signature confirms

By signing, the tenant or landlord confirms that:

  • They have reviewed the report

  • With the exception of where comments have been added, the report accurately reflects the condition of the property at the date of creation

This statement is shown clearly before signing to ensure transparency.


How the signature is captured

  • The signature is added digitally using the secure Remote Comments link

  • No TouchRight account is required

  • The signature is automatically linked to the report

  • The date and time of signing are recorded



Where the signature appears

Once completed:

  • The signature is embedded in the final report PDF

  • The signing date and time are visible

  • The signer is clearly identified as Tenant or Landlord

This provides a clear and professional record for audit, compliance, and dispute resolution purposes.
