Finalise a report that the tenant has added comments to

Our Comments feature gives your landlords and tenants the option to review, comment and sign reports remotely, providing an end-to-end paper-free solution.

Whether you choose to check tenants in at the office or at the property, this feature will speed up the move in process, as a report can be sent electronically to a tenant for them to check, review and sign in their own time, on any device. You can manage the process at every stage as you are in control of the approvals and timescales.

Once a report is submitted back from the tenant or landlord you will receive an email notification, plus you can go to the Comments screen to see the report status.

To finalise the report and make it available to download, you will need to access the report, accept or decline their comments and press a 'Complete Review' button. To do this:

  • Access the Comments screen by selecting 'Remote Commenting' in the left hand side menu.

Here you'll find a list of all the Comments requests that have been sent, showing you when they were sent, opened, submitted and expired. Requests can be cancelled, edited or resent using the action icons.

  • The report submitted by the tenant or landlord will be shown with an amber icon. Click the icon to open the report:

  • Click the 'View Outstanding' button to filter and only see the items where the tenant/landlord has chosen to add a comment or photo:

  • Then use the action icons (thumb up/down) to approve or disapprove the comment added in blue.

  • If approved, the comment will display in the final PDF report.

  • Use the 'tag' icon to create an issue for any item in the report that needs follow up and maintenance.

  • Option to rotate or delete any photo added by the tenant.

  • You also have the option to upload additional supporting photos, against questions where the tenant has 'disagreed' and added their own comment. You can add one supporting photo (as can the tenant). Click the 'choose file' button to add a photo:

  • Once you have finished reviewing the report, scroll to the end of the report and press the 'Complete Review' button:

  • Once the report is completed, the person who added comments (tenant or landlord) will automatically receive a copy of the report via email for their records, plus the report will be available to download from the reports screen on the Dashboard
